Xero Tips and Tricks

xero-tips-and-tricksWe love cloud accounting and we love Xero! This is the first in our new series of Xero Tips and Tricks designed to help you navigate your way around Xero quickly and efficiently as well as save you even more time.

1.  Quick Xero Login

When logging into Xero you use your email address and password. You can speed up logging into Xero so that you only have to enter your password.

To set this up go to:

Replace the upper case characters with your Xero login address and press enter. You will be taken to a login screen that now only requires your password.

Bookmark this page as a favourite and you are good to go next time you log in to Xero!

2.  View Multiple Pages

Sometimes viewing one page at a time in your Xero organisation is not enough. Multiple pages can be viewed at the same time by using tabs. To open a link in a new tab:

  • right-click on a link and select “open a new tab” if you are using a PC
  • hold down the Command key and click on the link if you are using a Mac

You can only use tabs to view multiple pages and not multiple organisations.

3.  View Multiple Organisations

To view multiple organisations in Xero at the same time, you will need to open each organisation in a different browser. For example log in to the first organisation using Chrome and your second organisation in Safari.

Using different browsers means that each organisation has its own separate data session. If you don’t use a separate browser, any changes could be saved in the wrong organisation.

4.  Inbuilt Calculator

With Xero’s inbuilt calculator you can do the following basic arithmetic functions:

Function Key Example
Add + 568.37+45.29
Substract 292.35-12.99
Multiply * 37.95*1.5
Divide / 129.99/.65
Group () (29.99*2.5)+20

When using the calculator in transactions, such as invoices, you can also enter basic arithmetic operations into the fields Quantity, Unit Price and Discount. When you press enter or tab, Xero will calculate the result.

If you are working in manual journals, you can use the calculator in the debit and credit fields.

5.  Date Entry Shortcuts

The following are a few of the date shortcuts you can use when entering sales invoices, bills, journals and other transactions or due date shortcuts when entering invoices and bills.
